Receptionist/Administrative Assistant

Full-time, Permanent position

Mills Brokers Insurance Solutions is growing and we are looking for a receptionist/administrative assistant to join our team.  We are an established brokerage located in the vibrant Leslieville neighbourhood of Toronto.  If you are organized, detail oriented, enjoy working with people and are looking to learn and develop a career in the insurance industry, we would love to talk to you.

Mills Brokers Insurance Solutions provides a range of insurance products and services including Commercial property/casualty, Home & Auto, life, travel and leisure with a focus on personal group insurance solutions for professional employee groups.

Responsibilities for Receptionist/Administrative Assistant:

  • Answer phone calls and greet clients

  • Provide clients with prompt, courteous and professional service

  • Assist clients with non-coverage related inquiries

  • Sort/distribute mail/courier, filing and other general administrative duties

  • Scan and attached documents in broker management system

  • Run, review and process the daily insurer download

  • Maintain and monitor integrated marketing and e-delivery solutions

  • Sort and forward incoming faxes and emails received

  • Invoicing

  • Assist Brokers with data entry

  • Assist management with special projects

  • Perform other specific duties or functions as required

  • Maintaining stock and availability of office supplies by ordering as required

Qualifications for Receptionist/Administrative Assistant:

  • Strong organizational, time and client management skills

  • Excellent written and oral communication skills

  • A team player with integrity and a strong work ethic

  • A motivated individual with a positive attitude and desire to learn

  • Able to learn new software systems and follow ongoing changes to workflows

  • Insurance knowledge / industry experience

  • Proficient with MS Outlook, Word, Excel, etc.

  • Receptionist or Admin Assistant experience in the insurance industry: Minimum 1 year (Preferred)

  • Power Broker Experience: 1 year (Preferred)
